Prepare for Your Consultation
Get ready for your free 20-minute Zoom consultation with Jeff Harvie
Your free 20-minute Zoom consultation is a great opportunity to discuss your visa options with a registered migration agent. Follow the steps below to make sure everything runs smoothly.
Step 1: Download Zoom (If You Haven't Already)
Zoom is a free video calling app. If you don't have it yet:
- On a computer: Visit zoom.us/download and download "Zoom Workplace"
- On a phone or tablet: Search for "Zoom" in the App Store (iPhone/iPad) or Google Play Store (Android)
You do not need a Zoom account to join a meeting — just the app installed on your device.
Step 2: Test Your Audio & Video
Before your consultation, make sure your camera, microphone, and speakers are working. Zoom provides a free test meeting for exactly this:
When you click the link above:
- Click "Join" to start the test meeting
- If prompted, click "Allow" to give your browser permission to use your camera and microphone
- You'll see a preview of your camera — check that you can see yourself clearly
- The test will play a ringtone — confirm you can hear it through your speakers or headphones
- Speak into your microphone and listen for the replay to confirm it's working
Common Issues & Quick Fixes
I can't hear anything
- Check your device volume is turned up
- Make sure the correct speaker/headphone is selected in Zoom's audio settings
- Try closing other apps that might be using your audio (YouTube, Spotify, etc.)
- If using Bluetooth headphones, make sure they're connected
Others can't hear me
- Check that your microphone is not muted (look for the microphone icon at the bottom of Zoom)
- Make sure your browser or app has permission to access the microphone
- Try using a headset with a built-in microphone for better audio quality
My camera isn't working
- Check that no other app is using your camera (close Skype, FaceTime, etc.)
- Make sure your browser has permission to access your camera
- On a laptop, check there's no physical camera cover or privacy switch blocking it
The video is freezing or choppy
- Move closer to your Wi-Fi router, or use a wired internet connection if possible
- Close other browser tabs and apps to free up bandwidth
- Ask others on your network to pause large downloads or streaming during your call
Step 3: Prepare for Your Call
- Find a quiet space with good lighting — natural light facing you works best
- Use headphones if possible — this prevents echo and improves audio quality
- Close unnecessary apps on your device to keep Zoom running smoothly
- Have your questions ready — 20 minutes goes quickly, so jot down what you'd like to discuss
- Keep relevant documents handy — passport details, previous visa information, or anything related to your situation
Step 4: Join Your Meeting
When it's time for your consultation:
- Click the Zoom link in your confirmation email (sent when you booked)
- If prompted, click "Open Zoom" or "Launch Meeting"
- Click "Join with Computer Audio" (or "Call using Internet Audio" on mobile)
- Make sure your video is on so we can see you
- You'll be placed in a waiting room — your migration agent will admit you when ready
